CLIENT SNAPSHOT

Client A US-based property management agency (anonymized at client’s request)
Team size 10+ team members
Footprint Multi-market operations across the USA
Engagement Embedded BitcraftX technical team, working as an extension of the client’s operations and growth functions
Core systems Hostaway (reservations), ClickUp (task management), GoHighLevel / GHL (CRM), client website booking flow

THE CHALLENGE

The client’s operations were growing faster than the systems supporting them. Two workflows — reservation handling and lead follow-up — were both running on manual effort, and both were starting to strain under volume.

On the operations side, every new reservation in Hostaway triggered a chain of manual steps: someone had to create the task, assign it, set a timeline, confirm the booking, and compile a summary — all by hand, with no direct link between the booking system and the team’s task manager in ClickUp. The client’s website booking form fed into this same disconnected process.

On the growth side, the team’s lead process was entirely manual: leads were scraped, qualified one by one over the phone, and only then added to their GoHighLevel CRM. Email outreach that followed had no structured automation and no reliable way to see what was working — response rates, open rates, click rates, and A/B performance were not being tracked in any consistent way.

The result was an operations and growth function that depended on manual attention to hold together — reliable in the short term, but not built to scale.

WHAT BITCRAFTX BUILT

BitcraftX embedded a technical team directly into the client’s operation, working as a continuous extension of their staff rather than a one-off project vendor. The engagement centered on two connected systems:

1. Reservation & Operations Automation

Triggered directly off new reservations created in Hostaway, BitcraftX built an automation layer connecting Hostaway and ClickUp to:

  • Automatically create and assign operations tasks for each new reservation
  • Set task timelines without manual scheduling
  • Send summary reports to the team automatically
  • Confirm reservations without manual follow-up
  • Push lead data straight into the client’s CRM

BitcraftX also built and now manages the client’s website booking form, so bookings originating on-site feed into the same automated pipeline as reservations from Hostaway — one system, instead of two disconnected ones.

2. Lead & Email Campaign Infrastructure

The client’s lead process — scrape, qualify by cold call, add to GoHighLevel — stayed in place; BitcraftX built the infrastructure around it so qualified leads stopped stalling in a manual inbox:

  • Webhook-driven automation triggered by lead stage and attribute changes inside GHL
  • Automated email sends triggered directly off those stage changes
  • Open and click-rate tracking built into the send pipeline
  • A custom analytics dashboard tracking emails sent, response rates, click rates, and A/B variation performance in one place

For the first time, the client’s team could see which messages were working — not just send emails and hope.

RESULTS & IMPACT

Because the work was embedded and ongoing rather than a single delivery, the impact compounded: fewer manual touches per reservation and per lead meant the client’s existing 10-person team could absorb more volume without proportionally more admin work.

  • Reservation-to-task turnaround cut by an estimated ~70%*, from several manual hours down to a near-instant automated handoff
  • Reservation confirmations sent automatically, estimated to have removed nearly all missed or delayed confirmations*
  • 100%* of new leads flowing into the CRM with zero manual re-entry, closing off a recurring source of lost or duplicated leads
  • An estimated 8-10 hours per week* reclaimed from manual task creation and reporting, redirected to client-facing work
  • First-time visibility into email performance — open rate, click rate, A/B results — through the custom dashboard, replacing guesswork with data

The client’s own framing of the engagement was simple: the gains came from sustainability, not a one-time fix. Systems that used to depend on someone remembering to do them manually now run on their own — which is what let the operation keep scaling without the team growing at the same rate.

ABOUT BITCRAFTX

BitcraftX embeds technical teams inside growing operators to build the automation and infrastructure that manual processes can’t sustain at scale — reservation systems, CRM pipelines, and the analytics to see what’s actually working. The goal isn’t a one-off build; it’s a team that stays, so the systems keep working as the operation grows.
